The Ministry of Home Affairs recently signed and issued Circular 02/2019/TT-BNV stipulating the standards for input data information and requirements for the preservation of electronic archival documents.
The backup of archival document databases shall be carried out according to the following time and methods:
- Archival document databases must be backed up daily using the incremental backup method; on the first day of each month, a full backup method must be used.- Storage media conversion:- Archival document databases and software must undergo storage media conversion every 3 years using the full backup method;- Descriptive data of archival documents are backed up and stored in XML (eXtensible Markup Language) file format.
Additionally, Circular 02/2019/TT-BNV also stipulates that the cataloging of the descriptive data of archival documents must meet the following requirements:
- The content of the descriptive data must be concise and clearly meaningful in relation to the document content to be described.- In cases where the content attribute has multiple values, distinguish the content attributes using a semicolon (;).- Agencies and organizations are responsible for updating and supplementing when the descriptive data content of archival documents changes.
