The Prime Minister of the Government of Vietnam has just issued Decision 45/2018/QD-TTg on November 09, 2018, stipulating the notification of the results of meetings of state administrative agencies.
Decision 45 stipulates that the chairperson of the meeting decides on the recording of minutes, audio recording, and video recording of the meeting. The organizing unit in charge of the meeting organizes the recording of minutes, audio recording, and video recording according to the directives. The storage of audio and video recorded materials shall be done in conformity.
Minutes must be recorded comprehensively and accurately, covering the course of the meeting and including the following principal contents:
- The chairperson and the list of attendees present at the meeting;- The order, progression, content, and issues presented and discussed during the meeting;- Opinions expressed by meeting participants;- Voting results (if any);- Conclusions of the chairperson and decisions made during the meeting.
Furthermore, Decision 45 stipulates that for meetings requiring notification of conclusions, based on the directives of the meeting's chairperson, the responsible agency or unit must issue a written notification of the meeting's conclusions, and send it to relevant agencies, units, and individuals within 5 working days after the meeting concludes.
